Job Summary:
The Facilities Manager is responsible for daily operational maintenance, vendor coordination, and facility support across Bounce Innovation Hub’s 300,000 sq. ft. building. This role ensures the facility operates safely, efficiently, and professionally by managing preventative maintenance schedules, coordinating contractors, responding to facility emergencies, and maintaining building systems.

As a key member of the Place Team, the Facilities Manager helps uphold Bounce’s mission to provide a welcoming, efficient, and inspiring environment for entrepreneurs, tenants, and community members. The position serves as the primary point of contact for all facility-related needs, working closely with tenants, members, and staff to ensure an exceptional facility experience. This position reports directly to the Director of Operations and works in coordination with the Place team to ensure seamless facility operations throughout the day.

Key Responsibilities:

Building Operations & Maintenance

· Oversee daily facility operations, including building opening procedures and morning walkthroughs to identify and address issues.

· Conduct routine inspections of building systems (HVAC, plumbing, electrical, elevators, and security) to ensure proper function and safety compliance.

· Perform minor repairs and maintenance tasks, including light bulb replacement, basic plumbing fixes, door adjustments, and other routine maintenance.

· Manage preventative maintenance schedules and maintain detailed logs of completed work.

· Maintain cleanliness and functionality of common areas, loading dock, and exterior spaces.

· Monitor and respond to building automation and security alerts.

· Perform tenant suite readiness and common-area upkeep, including completing or coordinating repairs such as drywall patching, painting, minor carpentry, and general aesthetic improvements to ensure all spaces meet Bounce’s quality and brand standards.

Vendor & Contractor Coordination

· Serve as the primary point of contact for all vendors, contractors, and service providers.

· Schedule, coordinate, and oversee vendor and contractor work including HVAC, plumbing, electrical, janitorial, landscaping, and specialized repairs.

· Obtain quotes for facility repairs and improvements and make recommendations to the Director of Operations.

· Ensure contractors follow safety and building protocols while minimizing disruption to tenants and members.

· Maintain vendor performance records and communicate issues or recommendations for improvement.

· Build and maintain strong relationships with key facility vendors to ensure quality service and responsiveness.

Emergency Response & Problem Solving

· Respond to facility emergencies, including plumbing failures, HVAC malfunctions, elevator issues, and power outages.

· Troubleshoot building system problems to determine whether internal resolution or contractor support is needed.

· Coordinate emergency repairs with appropriate vendors and communicate impacts to affected tenants, members, and staff.

· Maintain updated emergency contact lists and support 24/7 emergency response protocols.

· Document all emergency incidents and responses in the work order system.

Work Order Management & Communication

· Manage the work order system, ensuring timely response to tenant and member requests.

· Prioritize tasks based on urgency, safety, and operational impact.

· Communicate status updates and confirm completion with requestors to ensure satisfaction.

· Track work order completion rates and response times as operational performance metrics.

· Escalate complex or recurring issues to the Director of Operations with recommended next steps.

Safety & Compliance

· Ensure facility operations comply with all local, state, and federal safety and building codes.

· Maintain safety equipment, including fire extinguishers, emergency lighting, and first aid supplies.

· Coordinate required inspections (fire, elevator, etc.) and maintain accurate inspection records.

· Identify and report safety hazards promptly, implementing corrective actions as needed.

· Support emergency preparedness planning in coordination with the Director of Operations.

Budget Support & Cost Management

· Track maintenance and repair expenses, providing regular updates to the Director of Operations.

· Identify cost-saving opportunities through preventative maintenance, vendor negotiations, and energy efficiency improvements.

· Support annual budget planning by providing data on recurring maintenance costs and upcoming capital needs.

· Maintain inventory of basic facility supplies and equipment.

Team & Event Support

· Collaborate with the Place Team to ensure a positive, safe, and well-maintained environment for tenants, members, and guests.

· Assist with setup or breakdown for building-wide events, community gatherings, or special projects.

· Participate in team meetings and contribute to process improvement initiatives.

· Maintain a customer-focused, solutions-oriented approach in all interactions.

Skills & Qualifications:

· High school diploma or equivalent required; technical training or certification in facilities management, HVAC, electrical, or plumbing preferred.

· 3–5 years of experience in facilities maintenance, property management, or building operations.

· Proven experience coordinating vendors and contractors, including obtaining quotes and managing service quality.

· Strong troubleshooting skills and ability to diagnose and prioritize building system issues.

· Proficient in basic building maintenance skills, including drywall repair, painting, minor carpentry, and general cosmetic improvements, with an eye for detail and quality workmanship.

· Working knowledge of HVAC, plumbing, electrical, and general building systems.

· Experience with work order or building management software.

· Excellent communication skills (verbal and written) and professional interaction with tenants, members, vendors, and staff.

· Strong organizational skills with the ability to manage multiple priorities.

· Self-starter capable of working independently and making sound decisions under pressure.

· Proficient in Microsoft Office Suite, particularly Excel for tracking and reporting.

· Valid driver’s license and ability to transport supplies and equipment as needed.

· Familiarity with OSHA safety standards and building codes preferred.

Physical Requirements & Work Conditions

· Ability to spend significant time standing, walking, climbing stairs, and working in various areas of a 300,000 sq. ft., nine-story facility.

· Regular schedule: 6:00 AM or 7:00 AM – 2:30 PM or 3:30 PM, Monday through Friday, with flexibility for emergencies or special projects.

· Occasional evening or weekend work may be required for emergency repairs or large projects.

· Ability to lift and carry up to 50 pounds regularly, including supplies and tools.

· Ability to work in varying conditions, including rooftops, outdoor areas, and mechanical spaces.

· Ability to use hand tools, power tools, ladders, and maintenance equipment safely.

· Ability to respond quickly to facility emergencies requiring physical action and problem-solving under pressure.

Salary for this position is $60,000.00 per year.
