Now Hiring Administrative Specialist for Programs & Services – Kids Café Program

Temp Staff Need (6 months) in Irvine, CA

8:00am-5:00pm

$27ph-$28ph 

General Responsibilities: •

• Managing email and phone communication with external stakeholders, including: Coordinating delivery schedule changes in collaboration with SHFB Logistics Department
• Answering questions and providing guidance on program-specific topics
• Proactively reaching out to external stakeholders with questions, to share organization updates, and check-in on challenges
• Providing ongoing support to external stakeholders when issues arise
• Maintain positive, professional relationships with external stakeholders
• Keeping spreadsheets updated and ensuring accuracy of information Ensure monthly reporting is completed on-time and accurately by external stakeholders.
• Updating and verifying information in our inventory management system, including: o External stakeholders contact information o Certifications and trainings o Hours of operation
• Specific Responsibilities • Complete CACFP training to become well versed in CACFP rules & regulations • Edit check all meal service documentation from each Kids Cafe Program site on a weekly basis • Input all necessary data into the Kids Cafe master spreadsheet as meal service documentation is received and keep the master spreadsheet up to date at all time
• Communicate on a near-daily basis with our commercial food service vendor concerning Kids Cafe program orders, monthly menus, concerns, site changes, etc
• Verify invoices from our commercial food service vendor and submit to Program Supervisor: Youth Hunger Program and Programs & Services Manager for review and Programs & Services Director for Approval
• Ensure CACFP files are always audit-ready
• Develop, maintain, and cultivate strong partnerships with Kids Cafe Program sites, our commercial food service vendor, and all CA Department of Education contacts

• 3 years of administrative professional experience
